Resource Allocation
Assign employees to projects with roles, allocation percentages, and date ranges
Resource allocation lets you assign employees to projects with specific roles, capacity percentages, and date ranges. This helps you track who is working on what and plan team capacity.
Team vs Contacts
The Team tab manages employees allocated to a project (your staff). The Contacts tab manages site contacts like keyholders and facilities managers (client-side people).
Accessing the Team Tab
- 1 Navigate to Contacts → Projects
- 2 Click on a project to open it
- 3 Click the Team tab in the sidebar
The Team tab shows all employees allocated to the project, with summary cards showing total members, leads, and average allocation.
Adding a Team Member
- 1 Click the Add Member button
- 2 Select an employee from the dropdown
- 3 Enter their project role (e.g. Lead Engineer, Electrician)
- 4 Set the allocation percentage (0–100%)
- 5 Optionally set start and end dates for the assignment
- 6 Tick Lead on this project if they are a project lead
- 7 Add any notes (optional)
- 8 Click Add Member to save
Allocation Percentage
Use allocation percentage to track how much of an employee's capacity is dedicated to this project. For example, 50% means they spend roughly half their working time on this project.
What You Can Track
Project Role
A free-text role specific to this project, separate from the employee's job title
Allocation %
How much of the employee's capacity is dedicated to this project (0–100%)
Date Range
When the employee is assigned to the project (start and end dates)
Lead Designation
Mark one or more employees as project leads, shown with a Lead badge
Editing and Removing Members
Hover over a team member to reveal action buttons:
- Click the pencil icon to edit their role, allocation, or dates
- Click the bin icon to remove them from the project
Summary Cards
At the top of the Team tab, three summary cards show:
- Members — total number of employees allocated
- Leads — number of employees marked as lead
- Avg. Allocation — average allocation percentage across all members
