Managing Client Subscriptions

View and manage all client subscriptions from a central location. Pause, resume, or cancel subscriptions as needed.

Viewing Subscriptions

Access subscriptions from two locations:

  1. 1 All Subscriptions: Go to Documents → Subscriptions to see all client subscriptions
  2. 2 Client Subscriptions: View a client and click the Subscriptions tab

Subscription Actions

Pausing vs Cancelling

Pausing a subscription stops billing but keeps the Direct Debit mandate active. You can resume anytime. Cancelling ends the subscription permanently.

Pause a Subscription

Temporarily stop billing while keeping the mandate active:

  1. 1 Find the subscription in the list
  2. 2 Click the dropdown menu (three dots)
  3. 3 Select Pause Subscription

When paused, no invoices will be generated until you resume.

Resume a Subscription

Restart billing for a paused subscription:

  1. 1 Find the paused subscription
  2. 2 Click the dropdown menu
  3. 3 Select Resume Subscription

Billing will resume from the next billing date.

Cancel a Subscription

End a subscription permanently:

  1. 1 Find the subscription to cancel
  2. 2 Click the dropdown menu
  3. 3 Select Cancel Subscription
  4. 4 Choose when to end: Immediately or At Period End
  5. 5 Confirm the cancellation

Subscription Details

Click on a subscription to view:

  • Client and service details
  • Billing amount and cycle
  • Start date and next billing date
  • Direct Debit mandate status
  • Payment history for this subscription

Failed Payments

If a Direct Debit payment fails:

  1. 1 You will receive a notification
  2. 2 The client will be emailed about the failed payment
  3. 3 The invoice remains unpaid and can be paid manually
  4. 4 The subscription remains active for the next billing cycle

Common reasons for failed payments include insufficient funds or cancelled bank mandates.
