Using Advice Notes
Advice notes let you receive goods into stock before the supplier bill arrives. This keeps your inventory accurate while matching bills to deliveries later.
What is an Advice Note?
An advice note (or delivery note) is a document that accompanies goods when they arrive. It lists what was delivered but not the prices. The supplier invoice (bill) arrives separately.
Creating an Advice Note
- 1 Navigate to Inventory → Advice Notes
- 2 Click Create Advice Note
- 3 Select the supplier
- 4 Choose the receiving location
- 5 Add the products received with quantities
- 6 Enter the supplier's advice note number (for reference)
- 7 Click Save
Advice Note Workflow
| Stage | What Happens |
|---|---|
| Received | Goods arrive. Stock levels increase at the receiving location. |
| Pending Bill | Waiting for the supplier invoice to arrive. |
| Matched | Bill received and matched to the advice note. |
Matching to a Bill
When the supplier invoice arrives:
- 1 Create a new Bill as normal
- 2 In the line items, click Match Advice Note
- 3 Select the matching advice note
- 4 Line items are populated with prices from the bill
