Test Reminders and Escalation
The daily emails to the client's responsibles, the escalation to you after two misses, and the dashboard queue.
Test Reminders and Escalation
Every morning at 07:15 dynamik.app looks at every system's test programme and emails the people who should act: the client's contacts when a test is due or was missed, and you when the same test has been missed twice.
Switching It On
The programme has one company-wide switch: Settings → Certificates → Reminders → System test reminders. It is on by default. With it off nothing is sent and nothing is recorded.
Who Receives What
| Sent to | When | |
|---|---|---|
| System tests due at <project> | The client's responsibles | On the first day of a period — Monday morning for a weekly test — when nothing is recorded yet |
| Missed system tests at <project> | The client's responsibles | The period after a test was not recorded |
| <project> has missed the same test twice | Your owners and admins | Two or more consecutive periods missed |
| <project>: <rule> failed | Your owners and admins | The moment a scheduled test is recorded as Fail |
The client's responsibles are their portal contacts who can open that location and hold the Record logbook tests ability. If no contact qualifies, every portal-enabled contact of the client with an email is used, so a reminder is never silently dropped. Set abilities and locations on the client's contacts; see Portal Contacts.
Each system, rule and period is emailed once, and one email covers every system on the project. A client who skipped last week but has already recorded this week's test gets no missed email — the status is Done, and the miss stays in the history where the logbook PDF shows it.
The reminder links straight to the system's logbook in the portal with a Record the test button. The escalation to you lists each system and rule with how many periods were missed, and ends: The client has already been emailed after each miss. This is the point to call them.
On Your Dashboard
Missed tests also appear in the dashboard's action queue: one item per system — <rule> — missed ×2 — marked Urgent from two misses and High at one, with a Chase client link to the project's Systems tab.
Reminders depend on the client's contacts having an email address and portal access. A project whose client has no portal-enabled contact is logged as having nobody to remind — check the client record if a site never seems to get its Monday email.
