Generating a Risk Assessment
Risk assessments are written for you by AI from a description of the work, a floor plan, or a linked job, then reviewed and finished by you. The result is a numbered, branded PDF your engineers read before they start, or a fire-safety report for the owner of a building.
Open it from Apps → Risk Assessment. The bookmark icon on the Apps card pins it to your sidebar.
Two Kinds of Assessment

Generating One
- Click Generate with AI
- Choose Job / Activity or Premises / Fire Safety
- Describe the work (or the premises) — building type, who is present, access, existing conditions, known hazards. The more context, the better the draft. Up to 4,000 characters
- Optionally upload a floor plan — JPG, PNG, WebP or PDF up to 15 MB. The AI reads the drawing for site context before writing
- Optionally link a Job, a Client and a Project, so the assessment sits against the right record
- Click Generate Risk Assessment and wait 10–30 seconds
At least one of the three — a description, a floor plan or a linked job — is needed. The draft opens in the editor with a reminder to review it before approval.
Prefer to write it yourself? Start from blank asks only for a title and an activity type and gives you an empty assessment to fill in.
Reviewing and Editing
The editor has tabs for Overview (title, activity type, description, site context, site address, assessment and review dates), Hazards (add, edit or remove hazards; the score recalculates as you change likelihood and severity), PPE & Emergency, Assessor (name, position, registration or qualification) and Communication.
Refine with AI takes an instruction in plain English — "add manual handling for the cable drums", "make the controls stricter for work at height" — saves your current edits first, then updates only what you asked for. Everything you did not mention stays as it is.
Status, Review Date and Numbering
An assessment moves through Draft → Under Review → Approved, and later Expired (past its review date) or Archived. The index counts Total, Draft, Approved and Expired at the top, and colours the highest risk score red from 15, orange from 8.
Assessments are numbered like your other documents. Settings on the index page sets the prefix and next number; it needs the Manage company settings permission.
Preview, Download, Send
From the list, the editor or the assessment page: Preview opens the PDF in a window, Download saves it as reference-title.pdf, and Send emails it. The PDF header uses your company's brand colour, and every page is numbered.
The AI writes a draft. Approving an assessment is your professional judgement, and the assessor named on it is responsible for its content.
