Uploading Supplier Invoices
Upload the PDFs or photos, let the reader pull out the supplier, the lines and the totals, check them, choose the project, save.
Recorded on an example company: the people, clinics and suppliers in it are invented.
Most supplier invoices arrive as a PDF or a photo. Instead of typing each one in, upload the files on the Bills page and let dynamik.app read them: the supplier, the invoice number, the dates, every line and the totals come out of the document, you check them, and the bill is saved with the file attached. A laboratory statement with dozens of lines takes as long as one line typed by hand.
Bills, not expenses. A supplier's invoice you still have to pay is a bill. A receipt for something already paid is an expense: the phone app's Snap receipt does the same reading for those.
Uploading the invoices
- Open Purchases → Bills and press Upload.
- Drag the invoices into the box, or press Browse files and pick them. JPEG, PNG, GIF, WebP or PDF, up to 10 MB each, as many at once as you like.
- Press Process Invoices. Each file is read in turn; a page of lines takes a few seconds.
Checking what was read
The Review Extracted Data window shows one invoice at a time, with a counter (1 / 3) at the top.
- Supplier, Invoice Number, Date, Due Date, Subtotal, VAT, Total, Payment Terms: what was read from the document.
- Line Items: every line, with the quantity, the unit price and the line total.
- Project: the project the bill belongs to — the clinic, the site. Choose it here; the bill is then listed under that project's Documents → Bills.
- Supplier: when the name on the invoice matches a supplier you already have, it says so. When it does not, pick one in Link to existing supplier, or press Create New Supplier and the name is filled in from the invoice.
Press Save & Next to save this bill and move to the next invoice, Skip to leave one out, or Cancel All to stop.
What you get
Each saved bill is Received (it counts in what you owe from now), carries the invoice as an attachment, its lines as line items, and the supplier, project and dates you checked. Open it from the Bills list or from the project's Documents to see it, and when the supplier has been paid, More actions → Record Payment.
A document the reader could not make out comes back as Failed to extract data; press Skip and record that one by hand (see Recording Bills).
